FleetScout ("FleetScout", "we", "us") provides an AI dashcam and a fleet-safety control panel for mining and logistics operators. This Privacy Policy describes how we handle personal information when you visit our website, use our platform, or interact with us. By using our services you agree to this policy.

1. Who is responsible for your data

For most data generated by a fleet (vehicles, operators, trips, safety events and camera footage), our customer, the fleet operator, is the data controller and decides how that data is used. FleetScout acts as a data processor on the customer's behalf under our customer agreement. For our own website visitors and account holders, FleetScout is the controller. If you are a driver or operator and have questions about your data, please contact your employer or fleet operator first.

2. Information we collect

  • Account information: name, work email, phone number, company and role, used to create and secure your login.
  • Fleet and operational data: vehicle and driver records, trips, routes, GPS location, telematics and device status.
  • Safety event and camera data: ADAS and driver-monitoring (DMS) events, and the associated video evidence captured by the AI dashcam. In-cab footage may include images of drivers. This data is processed to detect fatigue, distraction and unsafe driving.
  • Usage and technical data: log data, IP address, browser and device information, and cookies (see section 6).

3. How we use information

  • To provide, operate and secure the control panel and AI dashcam services.
  • To generate safety scores, fatigue and risk analytics, alerts and coaching workflows.
  • To authenticate users and prevent unauthorised access.
  • To support customers, respond to enquiries and improve our products.
  • To comply with legal obligations and protect the safety of people and property.

4. Legal bases (where GDPR or similar laws apply)

We rely on: performance of a contract (to deliver the service), our and our customers' legitimate interests (fleet safety and security), consent (for non-essential cookies and certain communications), and compliance with legal obligations. Where FleetScout is a processor, the customer is responsible for establishing the legal basis for processing driver data, including any required driver notice or consent.

5. How we share information

We do not sell personal information. We share it only with: (a) your own organisation and its authorised users; (b) service providers who host and operate the platform on our behalf, such as Amazon Web Services; and (c) authorities or third parties where required by law or to protect safety, rights or property. Service providers are bound to use the data only to provide services to us.

6. Cookies and analytics

Our website uses essential cookies to function and analytics cookies to understand usage and improve the site. You can accept or decline non-essential cookies via the banner shown on your first visit, and you can clear cookies in your browser at any time.

7. Data retention

We retain account and fleet data for as long as your organisation maintains an active account, and safety event and video data for the retention period configured by the customer or required by law. When data is no longer needed, we delete or anonymise it.

8. Security

We protect data with encryption in transit and at rest, role-based access controls, authentication via AWS Cognito, and hosting on Amazon Web Services. No system is perfectly secure, but we work to safeguard your information and to address vulnerabilities promptly.

9. International transfers

FleetScout operates on cloud infrastructure that may process data in regions outside your own country. Where data is transferred internationally, we use appropriate safeguards as required by applicable law.

10. Your rights

Depending on your location, you may have rights to access, correct, delete, restrict or object to the processing of your personal data, and to data portability. Account holders can exercise these by contacting us. Drivers and operators should direct requests about fleet data to their employer (the controller), who can action them through the platform.

11. Children

Our services are intended for business use by adults and are not directed to anyone under 18.

12. Changes to this policy

We may update this policy from time to time. We will post the revised version here and update the "last updated" date. Material changes will be communicated to account holders where appropriate.
